The following email was sent to customers announcing the upcoming pilot and launch of online booking.
Welcome to the April update on PeopleSense’s new online booking experience. If you did not receive our previous emails, they are available for you online.
This update covers our progress towards launching full online booking for your EAP program. This starts with a pilot group of our psychologists becoming available for online booking from next Friday.
As a reminder, here the key changes so far:
Your Custom Booking Site
www.peoplesense.com/[YOUR CODE]
Your EAP program’s custom booking site allows your users to register with PeopleSense and access your EAP program. Many of our customers have updated to their new booking link but if you have yet to do so, please ensure your internal websites and other materials now use your custom booking link.
Promotional Booking Poster
To support the promotion of your EAP booking site, we have created a poster which you can download here [LINK]. You are free to reuse the included QR code, or modify the poster.
Why is it important to promote your new booking site?
Seeking care is an anxious process for many of our clients. Your custom booking site allows EAP program users to access care in ways that can reduce barriers, and we see it as an important addition to the way we support your team. Your site helps users understand your EAP program by focusing on the specific services you offer, and we are adding even more features over the coming weeks, so promoting it now will benefit your users today and in the future.
What is changing with next week’s pilot launch?
On Friday 19 April we are launching a pilot of our full system with online booking capabilities and a new ‘Client Home Page’ user experience. The pilot involves a limited number of our psychologists moving into the new system, and with them their active clients. Clients whose psychologist moves to the new system will be able to:

See their EAP program entitlement and usage,

Make online bookings directly with their psychologist, and
-
Manage upcoming appointments.
Clients whose psychologist has not yet moved into the new system will still be able to see aspects of the new system and will continue making booking requests as they do today. Selected new users will be able to make online bookings, subject to availability. Preview the online booking experience at our Help Centre.
Our Reception team will always continue to support users via phone and email when direct online booking is not available, or when it does not suit a user.
Introducing Your Booking Code
With the pilot launch we are also updating our general booking form at peoplesense.au to ask for a Booking Code, giving users another way to access your custom site. Your Booking Code is on your poster, is included in your custom link, and is shared here:

We suggest you include your Booking Code in communications to further help users access the program. Here is an example of how you might do this:
“Visit www.peoplesense.au and use the booking code [YOUR CODE] to make and manage bookings for our EAP program”
What is the plan following next week’s pilot?
Our pilot program will allow us to evaluate the new online booking system with our psychologists and selected clients. As we reach later stages of our project we will open up online booking availability for more psychologists and clients. We expect to conclude this in August and will update you on our progress.
