PeopleSense Online Booking Update - FebruaryUser Registration Launches Next Week
Dear Customer Contact,
Welcome to the latest update on PeopleSense’s new online booking experience. We hope you received our previous emails, but if you did not they are available online.
We’re writing today to let you know about additional features to the online booking experience that launch next week, and the next steps we invite you to take.
What is changing with next week’s update?
From Wednesday, 7th February we will require users to register on your booking page and set up a profile with PeopleSense. This is an important change that will allow a faster booking experience with closer integration to your EAP program.
What is User Registration?
Users will be required to register using their mobile phone number. For users without an Australian mobile number, we provide alternative ways to request an appointment. Registration includes setting up a profile with PeopleSense to streamline appointment bookings and clinical support.
These new features help your EAP program users:
- Answer, and save, demographic questions that match your reporting requirements — our current form only collects generic demographic data, and we often need to reach out to collect additional details.
- Retrieve their profile for future bookings, ensuring a faster and more accurate online experience — our current form doesn’t save or remember user details, meaning they have to be entered every time.
- Get ready for full online booking — the profile users create today will lead to full online booking and other enhancements, available from April.
It’s important to note that these user details are already securely stored in our clinical management system. These new enhancements streamline how your users provide these details to us, and help retrieve them in the future. This change also comes with a simplified step-by-step design for your booking page.
How will users register?
These new features are launching on the same custom booking page we shared in January. As a reminder, the link to your organisation’s custom booking page is:
www.peoplesense.au/[YOUR BOOKING CODE]
You can also now find this link and a QR code on your custom poster, shared below. Remember, users without the link may use our public booking request form and we’ll always support making appointments by phone with our Reception team.
What actions should you now take?
- From Wednesday, 7th February: Review your updated booking page.
The new changes go live around lunchtime on Wednesday. We invite you to register on your updated booking page to verify that it meets your expectations — you do not have to submit a booking request to see how it works. You may also wish to collect feedback from selected internal users. Please contact us with any questions or feedback by replying to this email. - Continue to share the new booking page and update internal webpages.
With the new user registration feature it is increasingly important that you update the internal webpages you host, and other assets, that describe your EAP program. The new features launch on the same page we shared in January and that is shown above. We’ve created a sample communications plan with suggestions for user emails and website content. - NEW — Customised Booking Poster
Inform your users about your custom EAP booking page with this new poster, complete with a scannable QR code providing direct access to the page.

What updates will follow in April?
Starting in April we will begin rolling out direct online booking for appointments with our psychologists; a process that will take several weeks as we onboard our team to the new system. During this time users of your booking page will begin to see online availability and appointment booking appear. This update also includes a new dashboard page for users indicating available and consumed session allowances, and details the services your EAP program offers. Online booking will be available for both in-person and telehealth consultations.
Another reason it is important your users are aware of these changes is that, from April, our public booking form will begin to ask a users for your “Booking Code” to properly direct them to your page. We’ve already included your booking code in your custom poster and we will share further details about this in our next update.
